Background

One place to manage rental finance

As a rental business, there are multiple stakeholders in charge of the finance between customers and business. In order for the finance and admin team to work more efficiently, we created a system where they can get all the information in one place.

The users

Finance Team

They need to be able to see the hollistic view of incoming and outgoing transaction, and this includes rental deposits.

Admin Team

The admin team needs the ability in managing customer’s deposits. This includes taking the actual deposit (in one go, or through an instalment), refunding, offsetting, and forfeiting.

Before we went deeper into the problems, we gathered how the ops team does their finance (esp with deposit). We interviewed their ideal journey and we went to look at how it’s currently structured to make sure we can accommodate how they work.

Pain Points

Legacy Issue

The ops team had to use what the tools they currently used - and due to legacy issues they couldn’t do the core things they wanted to do in order for them to do their jobs. They ended up doing a lot of the things manually (lots of spreadsheets) and sometimes the hacky way.
This includes managing deposits. Every countries have different ways in managing their deposits, and we wanted to make it as flexible as possible.

Gethering deposit information is all over the places

Both teams need to be able to see the hollistic view of incoming and outgoing transaction, and this includes rental deposits.

Right now the way it was designed, they have to go to different links and places to find what they need to do.
